II. Running & Scheduling Scan - Functioning of the Data Discovery Tool

The data discovery module allows organisations to initiate scans either manually or through scheduled execution. Scheduling enables organisations to define when scans should run, such as weekly or monthly, based on business requirements and system capacity.

Data discovery scans are resource-intensive operations. When a scan is initiated, it places computational load on servers and databases, particularly in environments with large data volumes. As data volume increases, the corresponding processing load may impact parallel business operations.

To minimise operational disruption, the tool provides scheduling controls that allow scans to be executed during off-peak or non-business hours. This ensures that discovery activities do not interfere with critical systems, application performance, or ongoing organisational workflows.

Step 1: Create New Scan Job

Once data sources are successfully integrated, scans can be created and executed from the Jobs section under the Data Discovery module.

Step 2: Name the Scan

Enter a clear and descriptive name for the scan job. This helps in identifying the purpose and scope of the scan

Step 3: Selecting the Data Source

Under Source, select one of the previously established connections. This defines which database or data source will be scanned.

Step 4: Configure Schedule or Run Immediately

Step 5: Review Settings and Create Job

Review the configuration, including optional settings such as data sampling. Click Create to save the scan job and initiate execution based on the selected options.

After the scan is completed, the discovery results and status will be available under the Reports section, where users can review identified data sources, sensitive data fields, and detailed scan outputs.
