Introduction - Purpose of Data Discovery
Data discovery is the process of identifying, mapping, and understanding personal data across an organisation’s systems and repositories. Organisations typically store personal data across multiple platforms such as HRMS tools, CRM systems, marketing platforms, internal databases, cloud environments, and shared drives. Over time, as systems evolve and business needs expand, visibility into personal data becomes fragmented.
In many cases, organisations initially collect limited personal information such as names and contact details. As operations mature, additional categories of personal data are introduced, including financial, identification, family-related, behavioural, or health-related information. These expansions are often not centrally tracked, leading to uncertainty around where personal data resides, what specific data fields exist, and whether ongoing processing remains aligned with legal, security, and business requirements.
This article serves both as an overview of data discovery as a privacy and governance function and as a practical guide for operating the Data Discovery module of the privacy automation tool. Data discovery restores organisational visibility into personal data and forms the foundation for privacy compliance, risk management, security controls, and enterprise data governance initiatives.
What the Module Does
The data discovery module performs automated scanning across the organisation’s infrastructure, including databases, applications, and storage environments. It identifies, inventories, and classifies personal data elements, enabling the organisation to clearly understand what data fields exist, where they are stored, and how they are structured.
This visibility allows organisations to take informed corrective and governance actions, including data minimisation, access control enforcement, retention alignment, risk assessments, and fulfilment of privacy compliance requirements such as Records of Processing Activities (RoPA), Data Protection Impact Assessments (DPIAs), and data principal rights management.
How the Data Discovery Process Works
To identify personal data distributed across the organisation, a data discovery scan must be executed. Before a scan can be initiated, organisational databases and data sources must first be securely integrated with the Privacy Pillar Data Discovery module.
Once integrations are completed and validated, scans can be configured and executed to locate where personal data exists, what categories of data are being processed, and which systems and business functions are involved. Discovery outputs then serve as the operational foundation for classification, risk assessment, and compliance workflows.
