Introduction to ROPA
What is ROPA?
The Record of Processing Activities (ROPA) helps you maintain a clear, structured record of your organization’s personal data processing activities. It is designed to document how and why personal data is processed across your business and to support compliance with applicable privacy laws.
In privacy compliance, the Record of Processing Activities (ROPA) is essential for maintaining a clear, written record of how and why an organization processes personal data. These records must describe how personal data is collected and used, the purpose and legal basis for processing, the types of data involved, how data is shared within the organization or across borders, how long it is retained, the safeguards applied to protect it, and when it is disclosed to third parties. Our ROPA module enables the following features for your organization's privacy compliance journey:
- Maintain a single, centralized repository of all processing activities for easy access and governance.
- Access a user-friendly dashboard to analyze, monitor, and manage processing activities efficiently.
- Record detailed information on personal data processing, including the purpose and lawful basis for processing, data categories and attributes, internal and cross-border data sharing, retention periods, applied safeguards, and disclosures to third parties.
- Maintain comprehensive consent records where consent is the lawful basis, including the nature and type of consent, collection channels, recording systems, associated privacy notices and links, and consent withdrawal mechanisms.
- Automatically extract and populate processing data through data discovery connections when a specific database is referenced in a processing activity added to the ROPA tool.
- Keep records of all relevant stakeholders involved in processing activities, including vendors, customers, and internal departments.
- Document data protection incidents, capturing incident details and indicating whether notifications were made to supervisory authorities and affected data subjects.
- Generate detailed data flow diagrams for processing activities, outlining the personal data collected, purposes, lawful basis, data categories and attributes, retention periods, security measures, and assessment dates.
- Store and link relevant internal policies and procedures to corresponding processing activities for improved compliance management.
We provide a Data Discovery module that performs regular scans of connected databases to identify personal data and sensitive personal data. The discovered data can be automatically retrieved and linked to the ROPA module to support accurate and up-to-date records of processing activities.
This application enables organizations to continuously track personal data collected across systems and clearly highlight any changes, helping maintain compliance and visibility throughout the data lifecycle.
